A construction daily report template is a one-page form the superintendent fills out every working day to record weather, who was on site, what equipment ran, what work got done where, and anything that slowed the job. The template below covers all twelve sections most GCs and owners expect, with a filled-in example.

A complete construction daily report records: date, weather (AM and PM conditions, temperature, precipitation, and impact on work), manpower by trade with company, headcount, and hours, equipment on site, work performed by area, deliveries, inspections and visitors, safety incidents and toolbox talks, delays and their causes, RFIs or issues raised, photos, and the superintendent's signature.

What should a construction daily report include?

Each field below answers a question someone will ask months later, usually during a delay claim or a pay dispute. The example is a single day on a three-story steel-frame medical office building.

What does a filled-in manpower section look like?

Manpower is the section owners read most closely, because it backs up pay applications and delay claims. Log every crew on site, including the ones that left early.

How do you fill out a daily report step by step?

  • Record weather twice, morning and afternoon, with actual readings rather than the forecast.
  • Count heads by company at a fixed time each day, then confirm hours at the end of the shift.
  • Describe work by area or gridline so it can be matched to the schedule.
  • Write delays as facts: what stopped, which crew, how long, and why. Leave blame out of it.
  • Note every RFI or drawing issue that held up work, with the RFI number.
  • Attach photos, sign, and submit the same day. Reports written days later carry less weight in a dispute.

What are common daily report mistakes?

  • "Weather: fine" with no temperatures or precipitation, which won't support a weather delay request.
  • Logging total headcount without companies or trades.
  • Copying yesterday's report forward and forgetting to update it.
  • Leaving out idle crews and standby time, which is exactly what a delay claim needs.
  • No link between a delay and the RFI or issue that caused it.

Is a daily report the same as a daily log?

The terms overlap, and many teams use them interchangeably. In practice, a daily report is usually the formatted one-page summary sent to the owner or PM, while a daily log is the running internal record. Our construction daily log guide covers how to keep that record and what makes it hold up later; this page gives you the form.

Where does Helonic fit with daily reports?

Helonic is not a daily reporting or field management tool, so use your field app or this template for that. Where it helps is the "RFIs and issues raised" line: conflicts like the duct and beam hold-up in the example can be found from the drawing set in preconstruction. RFI generation drafts those as RFIs with sheet references, and the RFI template in this series covers the manual version.

Frequently Asked Questions

What should be included in a construction daily report?
Date, weather with AM and PM conditions, manpower by company and trade, equipment, work performed by area, deliveries, inspections and visitors, safety notes, delays and causes, RFIs or issues raised, photos, and the superintendent's signature.
Who fills out the daily report on a construction site?
Usually the general contractor's superintendent. Subcontractor foremen often submit their own daily reports to the GC, which the superintendent rolls into the project report.
Why are daily reports important in construction?
They are the contemporaneous record of what happened on site. When there is a delay claim, weather extension request, or payment dispute, the daily reports are often the first documents both sides pull.
How detailed should weather notes be?
Record actual temperature, precipitation, and conditions in the morning and afternoon, and say whether weather stopped or slowed any work. Weather delay requests usually need both the site record and comparison to normal conditions for that month.
Can I use Excel for construction daily reports?
Yes. The CSV on this page opens in Excel or Google Sheets with one row per day. Many teams move to a field app once photo volume grows, but the fields stay the same.

How this page was researched: Sections were checked against the daily report fields in Helonic's construction daily log guide and against the record-keeping uses of daily reports in AIA A201-2017 claims provisions (Article 15), reviewed November 1, 2026. The project, companies, and figures in the example are illustrative.

Raise Fewer Drawing Questions in the Field

Helonic reviews the drawing set before construction and flags conflicts with sheet references, so fewer RFIs get raised from the field mid-pour.
